The office administrator is the oil that keeps the BASE engine running by providing administrative support to every department so we run efficiently. Responsibilities include, but are not limited to, reception duties and assisting engineering, testing and inspection, and administrative departments.

Regular duties include:

  • Answer phones, check the mail, and receive/prepare packages
  • Maintain departmental supplies and contact vendors for office, equipment, and fleet maintenance
  • Organize and maintain codes/standards and magazine library
  • Prepare and edit correspondence, reports, and specifications
  • Update inspection department personnel schedule on a daily basis
  • Process incoming checks
  • Enter A/P vouchers and disbursements (bills and credit cards)
  • Enter payroll disbursements
  • Research invoice discrepancies
  • Preparation of new hire orientation paperwork
  • Track timesheets along with vacation approvals
  • Maintain and schedule professional development opportunities for staff

Basic requirements:

  • Two to four years of office experience
  • Proficiency in Microsoft Office applications (e.g., Outlook, Excel, Word)
  • Strong verbal and written communication skills
  • Excellent interpersonal skills
  • Good organizational skills with strong attention to detail
  • Balance multiple tasks simultaneously
  • Have a valid driver's license

Exposure to the engineering, architecture, or construction industry is a plus, as well as experience using Deltek Vision.
